Position Objectives:
The County of Newell is seeking an organized and motivated individual to join our team as the Information and Technology (IT) – Projects Assistant. Reporting to the Director of IT, this full-time 3-year term position with the possibility of extension will support the County’s IT initiatives, contributing to the goals, values, and success of the organization.
This in-office position is responsible for supporting the coordination, administration, and execution of IT projects, programs, and initiatives across the County. The Projects Assistant will assist in the evaluation, procurement, implementation, and maintenance of corporate IT systems and applications, including financial systems, SharePoint-based electronic document and records management system (EDRMS) improvements, job costing, and other business systems.
Duties and Responsibilities:
Areas of Responsibility
- Maintain and assist with the development of project plans, schedules, action logs, risks, issues, and change requests.
- Coordinate meetings, workshops, demonstrations, and stakeholder interviews, including preparation of agendas, minutes, and follow-ups.
- Track milestones, deliverables, and approvals while escalating issues and risks as needed.
- Support project governance by preparing status reports, steering committee packages, and decision documentation.
- Document current processes, identify pain points, and assist with process improvements across departments.
- Assist with procurement activities, including preparing Requests For Proposals (RFPs), evaluation workbooks, scoring summaries, and reference checks.
- Support training and change management activities by scheduling sessions, preparing job aids/quick reference guides, and coordinating release communications.
Minimum Requirements:
Preferred Qualifications (training provided for assets only)
- Post-secondary diploma/degree in Business Administration, Information Technology, Project Management, or a related field; or an equivalent combination of education and experience.
- One to three years of progressively responsible experience in project coordination, Project Management Office support, business analysis, or IT administrative support. Public sector experience is an asset.
- Demonstrated proficiency with Microsoft 365 applications, including Teams, SharePoint, Word, Excel, PowerPoint, Visio, and Project, along with strong document control practices.
- Experience supporting software selection and procurement, including RFP preparation, vendor evaluation, coordinating demonstrations, and assisting with implementation activities such as testing User Acceptance Testing, and training coordination.
- Knowledge of information and records management concepts, including metadata, retention, and classification, and working within an EDRMS is an asset.
- LEAN Project Management training or experience is an asset.
- Valid Class 5 Driver’s Licence.
